When a Client Is Already Working With Another Locator

Use this to set a clear and respectful boundary.

Templates for Leads Who Never Replied

If a lead fills out your form but never responds use these templates to follow up. A reasonable cadence is four follow-ups on consecutive days while interest is still fresh.

After four attempts with no response add a CRM task to follow up one week later and again one month later.

Each message should be different. Pick from the options below based on what makes sense for the lead.

Adding urgency and curiosity

Hey [Name], just following up! I have a couple of options in mind if you're still looking for a place.

Let me know and I can get that list put together for you today.

 

Leading with value

Look at their form. Find one property that matches their criteria and pull a video or virtual tour from that property's Instagram, TikTok or website.

Hey [Name]! I found a place that I think is a really strong match for what you're looking for.

A final check-in before calling

Hey [Name] it seems like maybe we lost touch but I'd still love to help you find a great spot.

After a phone call attempt

Call the client. If they don't answer leave a brief voicemail and send this text immediately after:

Hey [Name]! Just tried to reach you. If you're still looking for a place I'd love to help. Feel free to reach me here anytime.

 

Ghosting Check-Ins

Use these when a client goes quiet after you've already been in contact. Keep the tone low-pressure. Pick whichever fits the situation. You do not need to send all of them.

If circumstances have changed no worries just keep me in the loop.

And if you did apply to an apartment I sent you please let me know so I can process your move-in rebate [Note: Offering a rebate can be tricky, do it carefully] for listing me as your referral source. Thank you!

 

Re-engagement

We were working together last month to help you find a place.

I was going through my notes and figured I'd reach out one more time to see if you're still in the market.

When a client says they renewed their current lease

Be warm and positive. Say something like: "That's awesome, no worries at all. Glad everything worked out! Best of luck."

That client will need to move again eventually. How you respond now determines whether they come back to you.
